Healthcare Project Coordinator | Remote (MUST be based in Southern California)

About the Role

An established architecture and planning firm specializing in healthcare design is seeking a highly organized and proactive Project Coordinator to support project teams throughout all phases of healthcare projects. This fully remote opportunity is available to candidates based in Southern California and is ideal for someone with an architectural background who enjoys coordinating project teams, managing documentation, and supporting the successful delivery of complex healthcare facilities.

Key Responsibilities

  • Provide project coordination and administrative support to project managers and architectural teams
  • Assist with the planning, scheduling, and execution of healthcare projects from design through construction
  • Coordinate meetings, prepare agendas, document meeting minutes, and track action items
  • Maintain project documentation, contracts, proposals, and correspondence
  • Coordinate with consultants, clients, and internal team members to ensure project milestones are met
  • Track project schedules, deliverables, budgets, and invoices
  • Assist with preparing presentations, reports, and client-facing materials
  • Support quality assurance processes and maintain organized project records
  • Help facilitate communication across multidisciplinary project teams
  • Perform additional project support duties as needed

Qualifications

  • Bachelor's or Master's degree in Architecture or a related field required
  • 4-6+ years of project coordination, project administration, or architectural support experience, preferably within healthcare architecture
  • Familiarity with healthcare project delivery and architectural design processes
  • Strong organizational, time management, and multitasking skills
  • Excellent written, verbal, and interpersonal communication abilities
  • Detail-oriented with the ability to manage multiple priorities in a fast-paced environment
  • Self-motivated and able to work independently while collaborating effectively with remote teams
  • Must be based in Southern California

Technical Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Experience with Autodesk Construction Cloud, Newforma, or similar project management platforms preferred
  • Familiarity with Revit and architectural document management systems is a plus
  • Experience with Adobe Acrobat and PDF/document workflows
  • Strong organizational, reporting, and project tracking skills
